Sales Order Software

Whether your organization is trying to meet the requirements of ISO 13485, or ISO 9001, both require some kind of documented review before committing to supply products and services to your customer.

In addition, the Sales Order is also an important trigger in any material management system for other activities such as purchase orders or work orders as the company manages its own supply and demand dance with its customers, vendors, and production departments as applicable.

QuickBooks or ERP Integration!

Sales Order Software

TLM Sales Order Software module provides the integrated tools you need to manage the review and approval of orders at your company to ensure all aspects of the customer’s expectations can be met.
What is a sales order

Generated by the seller, a sales order is the information used after receiving a purchase order from the customer specifying the details about the product or service along with price, quantity, shipping address, billing address, mode of payment and terms and conditions.

TLM Sales Orders supports different sales order scenarios with features such as:

  • Links to Meetings.
  • Attachments.
  • Links to Contact History.
  • First In – First Out (FIFO) Inventory Controls.
  • Lot and Serial Number Tracking.
  • Manage Shipping carrier account information.
  • DHR and CofC print options.
  • Customizable Sales Order Checklists to support your procedures.

The customer sends a purchase order to the seller detailing the products to be purchased, quantity, price, PO number, delivery and payment terms, and shipping address.

The seller then creates a sales order upon receipt of the purchase order.

Fusion Technology is what happens when information integration creates a higher-level management system beyond individual workflows. TLM Sales Order software incorporates this technology by integrating with other TLM solutions to create a Total Lean Management Software approach that provides all stakeholders with a picture of inter-related QMS Software events across your entire organization.

It also serves to create the foundation of your company’s digital landscape which saves you as much as possible from purchasing disconnected stand alone software, and provides the technical support for integrating other information systems when necessary.

All TLM software modules are rolled up to a user specific dashboard and summaries of each user’s dashboard can be automatically emailed to ensure QMS activities are scheduled and prioritized accordingly.

In addition, the TLM dashboard helps users navigate to where tasks are performed, making it easy for new users to adopt the software without having to pay for extra training before being able to put TLM software to work for your company.

Sales orders are an important part of managing transactions in any ERP system. When a customer sends you a purchase order your business becomes obligated to fulfill the order.

The TLM sales order gives you information on your inventory and whether the products are in stock,or how many are on backorder. This allows your purchasing department to make educated forecasts and purchase from your distributors.

TLM can also use this information to trigger the work order process if your production environment is set up as a job shop.

It’s best to enter sales order data as soon as possible. Do not make the mistake of trying to use your customer’s purchase order as a sales order as this will result in chaos in the long run not only with your purchasing department but also in accounting.

Financial auditors often inquire about sales order documents when reviewing a company’s financial statements, and working capital loans are also given based on the confirmed sales order value of a business.

With TLM Sales Order module you can:

  • Automatically fill orders from existing stock and make production/purchasing requests for any items that are short based on the BOM of that particular item.
  • Capture contact history using internal e-mail or MS Outlook to document customer communication.
  • Use invoice numbers from QuickBooks or other accounting software by using optional numbering on invoices.
  • Dashboard tasks walk everyone involved through a systematic process that meets contract review requirements.
  • Make quantity requests of the production process to include both manufactured and purchased items.
  • Print invoices using the same number as your accounting software, or integrate directly with QuickBooks.
  • Link to a variety of other modules to support thorough quote review process.
  • Automatically or manually number new Sales Orders.

Of all the factors that drive training, whether positive or negative, none are as important as the need to ensure your training efforts are effective.

Your management team can create quizzes to ensure this basic element of the training experience and the TLM Sales Order software module is one of the key tools for their success in this effort.

TLM Sales Order software ensures these efforts are well organized, linked to all other aspects of the QMS that might be related, and assigned to ensure employees who rise to the occasion can be recognized accordingly, and are motivated to do so as a result.

There is Only One Type of Quality Management System

Yours!

Over the last 20 years TLM has discovered a very basic truth when it comes to information management systems such as your eQMS, no two companies have the exact same needs.

In fact, the two biggest risks in the software selection process is either selecting software that is not flexible enough to manage information that is unique, and important to your workflow, thus forcing work arounds, or other concessions that effectively add waste to your business.

The other mistake is getting stuck with comprehensive, but inflexible quality management solutions due to their web based cloud hosting design, which forces a one size fits all approach to meeting customer needs.

And while one size might fit some, it might not fit all your needs when in the long run your understanding of those needs evolves and improves.

Total Lean Management Software, by definition, recognizes this fact, and addresses quality management solutions through a dual technology, upstream / downstream user landscape approach to meeting the needs of both your upstream and downstream user types. This is combined with our tiered approach to addressing newly discovered customer needs, making sure the software works in alignment with your business systems the day after your purchase, and for all the years ahead.
