What is a Quality Management System?

In retrospect the idea that there was something different called a “quality management system” was probably a mistake. In reality, a company has business systems that should address the requirements and risks identified in a quality management system standard, like ISO 9001 or ISO 13485. It was just human nature in the very early days of meeting those requirements that the idea evolved to do it with a collection of workflows aimed at the requirements and therefore given their own name. This led to other mistakes related to getting upper management to support and provide resources to these activities to the point it became its own requirement in the standards, as it was hard for management to see these systems as business critical, which companies are now slowly realizing is the case.

It has been the life long mission of Lean & Mean Business Systems, Inc to pursue business management that also complies with quality management system standards. When Total Lean Management (TLM) QMS Software is integrated with ZOHO One, a company can manage 99% of its information needs with only two very affordable, and integrated applications, and sail through ISO audits like a pro.

Addressing the requirements in a quality management system standard like ISO 9001, ISO 13485, or ISO 16949 helps a company build business systems that address common risks associated with mistakes that lead to unhappy customers.

For example, documented procedures and work instructions are invaluable in establishing the correct way to perform a task. As the company evolves and improves its processes, those documents should capture those changes, older versions need to be taken out of circulation and people might need to be trained on the new way. The alternative is word of mouth, which people will forget, and will walk out the door as soon as the person who knows this process best finds another job.

Therefore, the purpose of a “quality management system” can be thought of as all the company policy, procedures, and work instructions that address risks like this one in a variety of business categories as identified in the quality management system standard.

During the post WWII rebuilding of Japan, W. Edwards Deming, developed the PDCA or the Deming cycle as a management methodology that aims to continually improve processes. This 4 stage cycle of plan, do, check, and act was meant to help companies adapt to market changes, improve efficiency, boost productivity, and meet the needs of customers. This methodology was later incorporated in the principles and requirements in modern quality management system standards.
ISO 9001 is the all purpose standard for most industries, and then there are a few standards meant for specific industries, like ISO 13485 for medical device manufacturers, ISO 16949 for the automotive industry, and ISO 17025 for testing and calibration laboratories, for example.

Most companies allow their quality management system to be viewed internally by employees, by the registration body who certifies it to one or more standards, or by prospective customers who want to know their critical vendors have a formal QMS in place and that it’s actively being used for continuous improvement.

By its very nature it should have all the problems being solved and tracked through such systems as internal audits, corrective actions, customer complaints or non-conforming material reports. So normally in order to see a full system, that includes all the document procedures and the ongoing records of continuous improvement, you would have to build your own system.
